Resort Event Booking and Travel Terms and Conditions

CANCELLATION SCHEDULE: For complete cancellation details, see Section 6.

*Deposits and fees are non-refundable regardless of date of cancellation.

Cancel on or before September 30, 2026 Full refund (excluding deposit and fees)

Cancel between October 1 and December 20, 2026 75% refund

Cancel between December 21, 2026 and January 14, 2027 50% refund

Cancel between January 15 and February 4, 2027 25% refund

Cancel on or after February 5, 2027 No refund, please refer to travel insurance

EPEX highly recommends the purchase of travel insurance. All guests agree that no refunds or credits can be offered outside of the cancellation schedule. Travel insurance is offered at the time of booking and may be purchased at anytime. Cancel for any reason travel insurance must be purchased within 14 days of booking. By refusing the purchase of travel insurance all guests hereby assume full responsibility and risk for canceled bookings. The Preferred Plan offered by Travel Guard is available for purchase through an EPEX Ventures reservation website. Please visit TravelGuard.com to learn more about coverage under their Gold Plan. Welcome to the 2027 Legends of Pittsburgh Resort Takeover. This document contains an IMPORTANT NOTICE TO GUESTS concerning important regulations and limitations with respect to this event between you and the companies booking the stay and programming the events. The company is EPEX Experiences (EPEX), the travel and event company producing the Resort Takeover. It is IMPORTANT that you carefully read all terms of this Contract.

UNDER NO CIRCUMSTANCES DOES THIS CONTRACT PROVIDE FOR AN AGREEMENT BETWEEN YOU AND ANY SPORTS TEAM. FURTHER, YOU, AS A GUEST, ACKNOWLEDGE THAT THE PROMOTED AND IDENTIFIED PERSONS, PLAYERS, FORMER PLAYERS, ARTISTS AND ENTERTAINERS AFFILIATED WITH THE EVENT AND THE OTHER PROMOTED PERSONS APPEARING IN EVENT ADVERTISEMENTS (COLLECTIVELY "PROMOTED PERSONS") ARE SUBJECT TO CHANGE FOR ANY REASON AND/OR LIMIT THEIR PARTICIPATION OR AVAILABILITY DURING THE EVENT. NO REFUNDS, DISCOUNTS OR SETOFFS ARE AVAILABLE FOR ANY REASON REGARDING THE AVAILABILITY OF THE "PROMOTED PERSONS".

Section 1. Overview

This Booking and Travel Terms and Conditions Contract (the "Booking Contract") describes the terms and conditions that will apply to the relationship between you and EPEX with respect to the Resort Takeover and events covered by this agreement.

Section 2. Booking Contract

By making this reservation, or by acceptance and/or use of the registration process in booking the Resort Takeover, each guest acknowledges they have read, understood and agreed to be bound by all terms and conditions.

Section 3. Cancellation by Name Talent / Substitution or Modification of Programs

While specific celebrities, players, and personnel ("VIP Attendees") have agreed to attend, EPEX shall not be liable for failure of any VIP Attendees to attend. No refunds, discounts or setoffs are available regarding the availability of the "Promoted Persons".

Section 4. Changes in Reservations

Any changes in bookings may be made by any person(s) financially responsible. Lead guests transferring their reservation to another name will result in a $50 lead guest name change. Name change fees may apply when changes are made within 60 days of the event. No changes or additions can be made within 30 days of the event.

Section 5. Payment Schedule, Amounts and Method

At the time of booking, a minimum non-refundable deposit per person will be charged. For credit card purchases, a 5% credit card processing fee applies. Guests opting for payment plans agree that the card or account on file will be automatically charged on the 15th of every month.

Section 6. Booking Cancellation and Modification Policy

Each guest acknowledges that the event may be canceled for any reason at which point a full refund would be granted. Cancellation fees will be assessed according to the date of cancellation:

Cancel on or before September 30, 2026 – Full refund (excluding deposit and fees)
Cancel between October 1 and December 20, 2026 – 75% refund
Cancel between December 21, 2026 and January 14, 2027 – 50% refund
Cancel between January 15 and February 4, 2027 – 25% refund
Cancel on or after February 5, 2027 – No refund, please refer to travel insurance

Section 7. Room Assignments

Room assignment and check-in details will be provided to guests before the event.

Section 8. Guest Eligibility

Guests must be fit for travel. Minors must travel with a parent or legal guardian.

Section 9. Documentation

Guests are responsible for carrying identification and travel documents required for their journey to and stay in Florida.

Section 10. Event and Accommodation Rates

Rates, occupancy requirements, taxes, fees, and included items are those shown in the reservation system at the time of booking.

Section 12. Services Not Included

Additional expenses may include transportation, flights, optional resort activities, dining, beverages, and items of a personal nature unless expressly included in the reservation. High-speed internet across the property is included with your reservation.

Section 13. Schedule Changes

EPEX or the resort may cancel, advance, postpone, or modify scheduled programming for circumstances beyond their control.

Section 14. Photography/Video

EPEX and its partners have the right to capture photographic and video portrayals of guests for business and promotional use. Guests may capture media for personal use only.

Section 15. Release of Liability

Guests acknowledge the risks of participating in resort and event activities and release EPEX and its affiliates from any and all claims arising from participation.
